Challenges

In 2018, MW.FEP was using an internally built software tool to process all RFQs from their customers, including Bill of Material (BOM) formatting, component costing and labor estimation. Finalizing quotes required five full-time employees to complete approximately 300 quotes per year. The average turn time for quotes was 30 days and it took approximately 40 hours of effort per quote.

Management at MW.FEP recognized the limitations of their current process and how it was inhibiting their goal of being more responsive to customer requests. They decided to implement a new system that would help address several challenges in the RFQ process:

  1. The overall turntime was too high
  2. The amount of effort required to complete a quote was too high
  3. It was too challenging to coordinate among various departments to complete a quote

Their internal solution did not allow them to fulfill their objectives. The main challenge was being responsive to customer requests in a timely manner. As a forward thinking company, they wanted to find the right solution for their challenge and find a way to achieve the best results.

Objective

MW.FEP saw the need for a solution to align with all departments involved, including quality,
purchasing, customers and their suppliers. The need for a comprehensive solution, one that was
streamlined and addressed various points along the process (quality, labor, component costing), led
them to CalcuQuote.

Solution and implementation

CalcuQuote is a software business focusing on applying technology and process expertise to the electronics manufacturing services industry. CalcuQuote’s turnkey RFQ management system, known as QuoteCQ, is used by 100+ EMS companies to improve the speed, accuracy and efficiency of their RFQ process.

MW.FEP evaluated various options to solve their key challenges related to the RFQ process and ultimately chose CalcuQuote. The key decision criteria were centered on CalcuQuote’s expertise in the EMS industry, QuoteCQ offering a comprehensive solution for managing everything related to the RFQ process in one place, and the responsiveness that CalcuQuote’s supply chain integrations could bring to the RFQ process.
 
 The scope of MW.FEP’s implementation of CalcuQuote includes:
  • Risk assessment to maintain compliance with AS9100
  • BOM and material cost management utilizing supplier API integrations and bid sheets
  • Labor estimation for prototype and production volumes
  • Final preparation of the quote
  • And metrics tracking to measure turntime and win rate
After making the decision to implement CalcuQuote, MW.FEP experienced a straight-forward onboarding process with a dedicated CalcuQuote team member to ensure success. A single project manager at MW.FEP implemented the system with the help of their customer success manager a  CalcuQuote. Once implementation was complete, they deployed the system for all involved in the RFQ process.

Within a few weeks, MW.FEP was up and running with CalcuQuote. MW.FEP is the first Italian based customer for CalcuQuote and helped share feedback to drive changes for currency conversion and other product needs for Europe.

Ultimately, MW.FEP wanted to speed up their RFQ activity and be more precise. The outcomes of the implementation of CalcuQuote so far have already been significant.

Since implementing CalcuQuote in 2019 MW.FEP’s quote volume has increased 33%. Their team has also priced over 20,000 line items in a single year through the integrations with major component distributors. Overall, the challenge of speed and precision has improved significantly. While not the initial challenge, MW.FEP had the goal to gain more business and increase sales performance and that is exactly what they did with their new system.

MW.FEP has achieved their goals, put their challenges of the RFQ process behind them, and become a prime example for EMS companies in Europe.
